Privacy Policy
How Linkuble uses personal information when you browse, sign in, save study or research interests or contact us.
Who is responsible
Linkuble is operated by LURNABLE LTD (also referred to as Lurnable Limited), registered in England and Wales, company number 11235154. Our registered office is 5th Floor, 167–169 Great Portland Street, London, England, W1W 5PF. We are the controller for personal information used to operate Linkuble. Contact info@lurnable.com with “Linkuble Privacy” in the subject.
Information we collect and where it comes from
Public browsing does not require an account. Hosting and security providers process technical request information, including IP address, browser details, request time and URL, to deliver and protect the service. Enquiry abuse controls store time-limited hashes derived from an email address or IP address rather than those raw values in their rate-limit buckets.
If you choose Sign in with ChatGPT, the authentication service supplies a site-specific user identifier and permitted email and name. Linkuble does not receive your ChatGPT conversations or password. We store saved opportunity identifiers, optional study or research interests, skills, qualifications, preferred study or research stage and fee status if supplied and alert preferences under your account identifier.
You supply contact name, work email, institution, role, opportunity URL, campaign dates, optional budget and brief when submitting an advertiser or editorial enquiry. We also process correspondence you send us. Please do not include health information, identity documents, confidential proposals or applicant records.
For institutional outreach, we obtain relevant business contact details from official university or organisation pages and record the source, check date, contact status, communications and any objection. When a business relationship develops, we record agreed campaign details, correspondence, invoices and payment evidence.
Purposes and lawful bases
Providing your requested workspace and managing a campaign you request: performance of our service agreement, or steps you request before entering a contract, where you are the contracting person. Where you act for an institution, our legitimate interest is responding to and administering that institutional enquiry. Optional profile fields are not required to browse.
Site delivery, fraud and abuse prevention, source corrections and complaint handling: our legitimate interests in running a reliable, secure service and resolving concerns; legal obligation where a statutory duty applies.
Relevant institutional partnership outreach: our legitimate interest in developing university partnerships, taking account of the recipient’s role and reasonable expectations. We screen objections and do not treat an enquiry or sign-in as consent to unrelated marketing. Individual electronic marketing requires the applicable permission.
Optional Google Analytics: your consent. Analytics page URLs exclude arbitrary query text and retain only bounded campaign tags for attribution; private account and review routes are excluded. You can refuse or withdraw this through Cookie Settings without losing public browsing. Financial and statutory records: compliance with applicable legal obligations.
Accounts, matching and messages
Research suggestions use topic-word overlap with your interests and skills. Scholarship discovery suggestions use the selected study level, interest text and any stated fee-status restrictions. They do not infer nationality or residence. They are discovery aids, not an assessment of your admission eligibility, funding entitlement or employment suitability. Linkuble does not make automated admissions or similarly significant decisions about you.
The weekly digest currently covers research opportunities; scholarship-specific email and deadline alerts are not active. Weekly opportunity digests are optional and use your sign-in email only after you explicitly subscribe. We record your consent date, email, preferences and an unsubscribe token; older saved interests are not treated as a subscription. Matching uses your selected stage and comma-separated topics. Unsubscribe in your account or through any digest. We retain per-week delivery claims to prevent duplicate sends; provider acceptance does not prove delivery. WhatsApp is not active. Sign-in does not enrol you in alerts or promotional emails.
You can download or delete saved opportunities, profile and alert preferences in My Account. This deletes your Linkuble workspace records; it does not delete your ChatGPT account, separate enquiry correspondence, required business records or provider security logs. Signing out does not delete data.
Sharing and service providers
Authorised operators can access information needed to administer the service. Private review and operations pages are restricted to the designated operator accounts. Applicants’ saved profiles are not published or sold to universities or advertisers.
OpenAI Sites provides hosting and ChatGPT authentication; Cloudflare provides website delivery, Workers and database storage. Twilio SendGrid sends consented weekly opportunity digests, institutional outreach and internal enquiry notifications. Email open and click tracking are disabled. The business mailbox is accessed through Gmail; enquiry and reply correspondence therefore also passes through the mailbox service. Google provides optional Analytics when accepted.
We may disclose necessary information to professional advisers, regulators or law enforcement where justified by law, or in a business transfer subject to appropriate protection. Advertisers receive agreed campaign reporting, not access to applicants’ private workspaces.
Processing outside the UK
Providers operate international services, including in the United States, and may use other countries for hosting, support or subprocessors. We do not promise UK-only storage. A restricted transfer requires an applicable UK adequacy arrangement or appropriate safeguards, such as approved contractual protections and any required transfer assessment.
The precise provider locations, contract protections and applicable transfer mechanisms need to be considered together with the account arrangements. Contact info@lurnable.com to request details or a copy of relevant safeguards, subject to lawful redactions. A provider’s public privacy notice is not itself proof of our contractual safeguards.
How long information is kept
Workspace data is retained to provide the workspace you request, until you delete it or request erasure, unless a specific legal reason requires retention. Account deletion removes the live workspace records. Provider backups and security logs follow their own expiry cycles and may not disappear immediately.
Unconverted enquiries and outreach correspondence are reviewed for deletion or anonymisation once no longer needed; our retention target is no more than 24 months after the last substantive contact. Contract, invoice and payment records may need longer retention for accounting and legal claims, generally six years after the relevant accounting period or relationship ends, subject to the applicable requirement.
Minimal suppression details are kept for as long as needed to honour an objection and prevent repeat contact. They are used for suppression, not further marketing. Complaint and rights-request records are retained while handling the matter and for up to three years after closure where needed to demonstrate the response; disputes or statutory duties may justify longer retention.
Enquiry rate-limit buckets expire after 24 hours and are purged on subsequent submissions. Cookie and browser preference lifetimes are in the Cookie Policy. Google Analytics reporting retention and hosting/mailbox log or backup expiry depend on provider settings; ask us for the applicable setting. These periods are retention rules, not a claim that all provider-held copies are deleted automatically.
Analytics and external websites
Optional analytics measures public-page views and selected official-opportunity clicks. Application events remove query strings and URL fragments and send only a listing identifier and destination domain for those clicks. Advertising personalisation and Google Signals are disabled in the site configuration. We do not intentionally send profile, enquiry or email content to Google Analytics. Private account, saved, research-profile, review, API, sign-in and campaign-brief routes are excluded from the site’s analytics loader.
An official-source link may include Linkuble campaign parameters to identify the referral. Visiting a university or another external service is subject to that organisation’s privacy and cookie rules. Linkuble does not receive your application documents through those websites.
Your rights and choices
Depending on the circumstances, you can request access, correction, erasure, restriction, portability or object to processing based on legitimate interests. You have an absolute right to object to direct marketing. Withdraw analytics consent in Cookie Settings; withdrawal does not affect the lawfulness of earlier consent-based processing.
Email info@lurnable.com with your request. We may ask for proportionate identity information so we do not disclose someone else’s data. We normally respond within one month; if a lawful extension applies, we will explain it. Access is generally free, subject to statutory exceptions.
Children and policy changes
Linkuble is designed for people exploring postgraduate research and postdoctoral work, principally adults. Public information may be browsed without an account. It is not a service designed for young children; please do not provide a child’s personal information. If we learn that inappropriate children’s information has been collected, we will investigate and remove it where required.
We update this notice when features, providers or uses change. Material changes will be explained before a new use where required; a website update does not replace any consent that must be obtained.
Privacy complaints
Email info@lurnable.com with “Linkuble Data Protection Complaint” in the subject, explaining the concern and any relevant dates or reference. We acknowledge data protection complaints within 30 days, investigate without undue delay, keep you informed and communicate the outcome. You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/ without first exhausting our process. See Complaints and Corrections for the full contact route.
